HR Coordinator – Operations & Payroll

As an HR Coordinator you will report to our Manager - HR Operations.
The role is based at our office in Uppsala.
About the role
As an HR Coordinator, you play a key role in keeping HR operations running smoothly and supporting the company’s growth. You handle day-to-day administration, keep HR data accurate, and help improve processes, while being comfortable working with HR systems and digital tools.
We think you have 1–2 years of experience in a similar role or are technically inclined and want to learn more within HR.
Key responsibilities:
HR Systems & Data Management
Maintain and administer the company’s HRIS to ensure the integrity of all employee data. You will be responsible for the data quality in the HR System and maintaining accurate digital personnel files. This stretches from core HR data to scheduling administration.
Payroll Management
Drive the preparation of the monthly payroll cycle in Sweden by compiling and verifying data such as sick leave, salary changes, one-time payments, bonuses, deductions, and unpaid absences (HR system and payroll system is integrated).
Support with payroll preparation to our external payroll provider(s) for our international markets. You will help ensure they receive accurate data on time, that local payrolls are processed correctly and collaborate closely with our colleagues in Finance.
Support with reporting (tax authorities, SCB, internal controls, audits, etc.) and insights coming from time reporting / payroll such as overtime, sick leave and care of child.
Employee Support
Maintain and update the personnel handbook and serve as the first point of contact for all employee HR-related inquiries. You will manage and resolve requests and questions coming in via Jira (+ email and Slack).
Provide answers regarding company policies, leave entitlements, and system access.
Proactively communicate general employee matters to managers and employees.
Document management
Issue, review and share documents such as employment agreements / addendums / employment certificates
Benefits & Insurance Administration
Administer and answer questions regarding employee insurance plans (health, pension, life insurance) together with an external provider.
Reviewing expenses in our expense tool.
Invoice management.
Finance Support
Collaborate closely with Finance regarding accounting, accruals and payments.
Requirements
Digital Literacy:
You are tech-savvy and possess strong computer literacy. You are comfortable working across multiple systems simultaneously (e.g., HRIS, Jira, Slack, Payroll portals) and can learn new tools quickly. Google Sheets (and Excel) will be your new best friends.
Payroll processing: An understanding of payrolls processing is key as everything you will do will more or less have an impact on payroll, directly or indirectly.
Stakeholder Management: You have experience interacting with various stakeholders—from employees to external providers—ensuring professional and smooth collaboration.
Communication Skills: You have the ability to communicate clearly, effectively, and professionally in English, both verbally and in writing. Proficiency in Swedish is considered a strong bonus but is not a requirement.
Integrity & Discretion: You handle sensitive information with the utmost care. You understand the importance of maintaining confidentiality and exercising discretion in all HR matters.
Detail-Oriented & Accurate: You possess exceptional attention to detail and excellent judgment. Whether you are entering data into the HRIS or reviewing payroll figures, you take pride in ensuring high accuracy.
Reliable & Results-Driven: You are organized, respect deadlines and can prioritize your workload effectively in a fast-paced environment to always deliver what is expected of you.
Service-Minded & Positive: You approach challenges with a positive, "can-do" attitude. You enjoy solving problems for others and strive to provide excellent support to your colleagues.
